Program Coordinator (Part-Time)
Spirit of Life is a not-for-profit organization established in 2004 to address the gap for Chinese-speaking families with a child with developmental disability. We are a registered charitable organization that aims to enhance the quality of life for individuals with developmental disabilities and other special needs through education, support, and services. As a not-for-profit corporation, Spirit of Life receives funding from project grants, corporate sponsors, and various supporters.
We are looking for someone who shares our vision, passion and commitment to join the team as a Program Coordinator. This position will work closely and confidentially with the Board of Directors members and is responsible for coordinating daily operations, planning, fundraising, and site administration.
DUTIES AND RESPONSIBILITIES
Office Administration
- Provide administrative support (arranges meetings, takes meeting minutes, prepares materials, prepares/sends correspondence, develops mailing lists, files, and data entry).
- Handle requests, calls, and general inquiries.
- Handle purchasing of office supplies and other required supplies/furniture/equipment, etc.
- Maintain online filing system.
- Maintain content on external website.
Programs, Services and Outreach Support
- Assist with daily program and services administration.
- Assist with planning and scheduling of activities including room bookings, events, meetings and activities as required.
- Deliver outreach and promotional events.
- Compile and prepare records, statistical reports and other reports as required by funders.
Fundraising/Finance
- Coordinate mailing lists, distribution of invitations, and program book/sponsorship materials to prospects.
- Attend fundraising event planning meetings (as required)
- Process ticket/table sales, donations, sponsorships, silent auction and in-kind support for various fundraising events.
- Prepare and mail tax receipts and thank you letters to donors.
- Work onsite the day of fundraising event.
- Responsible for coordinating donations and other financial transactions including banking transaction with the Finance committee.
- Maintain required financial and administrative archives and filing systems.
Other duties as required.
QUALIFICATIONS
- Post-secondary education or equivalent in experience
- Related work experience.
- Knowledge and understanding of the developmental disabilities sector.
- Ability to communicate in English, Cantonese and Mandarin.
- Capacity to work in a self-directed manner, establish priorities and adhere to strict deadlines.
- Results oriented, customer focused, team player, adaptable, innovative, takes initiative, is an open and effective communicator and values diversity.
- Ability to handle the privacy of personal information and use sound judgment in protecting confidential information related to business activities.
- Strong interpersonal skills and a passion for making a difference.
- Strong attention to detail and accuracy.
- Excellent organization and problem solving skills; must be proactive.
- Experience and highly proficient working in an MS Office environment.
- Ability to work with volunteer committees and key stakeholders.
- Flexibility to work occasional evenings and weekends.
- Valid Vulnerable Sector Police Reference Check.
